Many reasons speak in favour of external records management
Growth: successful companies grow and must use the available space more and more for productive activities.
Construction costs: When constructing a new office building, expensive cellars, basements and shelf systems for storing records can be avoided.
Rental costs: Rented floorspace must be used efficiently. Storing records on it is not an efficient use. 80 % of all archives of companies are stored in rented premises as a solution born of pure need.
Personnel costs: Lean company structures reduce personnel costs. But in most big companies, full-time records managers and records departments use obsolete technology and are not highly efficient.
And in small companies? – Records management is not only time-consuming but also extremely unpopular work. This increases the potential for sources of error.
Prescribed retention periods: In 1998, the statutory retention periods were lengthened. Archives that were oriented to the previous deadlines are no longer enough. Additional space must be created.
Manufacturing industry and the service sector want to concentrate more and more on their core business.
